GPA's Explained

Somewhat!

Do you frequently bring up Query in hopes of printing GPA information?  Do you become confused when you see there are eight GPA's:  CurGPA1, CurGPA2....CumGPA1, CumGPA2...?  I bet it causes you to pause and wonder what the differences are for each GPA.  Well, remain in the dark no longer.

The numbers at the end of each field name references the four GPA's that are set up in the GPA definition.  They DO NOT mean the corresponding nine weeks.  GPA1 is an Academic GPA and GPA2 is a Total GPA.  Both Academic GPA and Total GPA are set up exactly alike so the two values should be the same.  In the Transcript Definition the default GPA is the Total GPA; therefore it's either field that has the "2" at the end depending on whether you want cumulative or current GPA.

Example:

If you wanted a list of students with their total GPA for the current grade reporting period, the following query could be run:

Display ASTU LastName FirstName CurGPA2

I recommend updating GPA's before you run a list containing any GPA so that you'll have the most current information.  When printing a transcript, the GPA is computed on the fly but if you're using query, the information in the field is not re-computed although there may have been grade changes.

WHAT WERE YOU THINKING?

It has come to my attention there are students on the database with "NMN" as their middle name.  When I asked a registrar about this I was told it stands for "No Middle Name".  I regret to tell you, this is unacceptable.  If the student has no middle name please leave the middle name field blank.

 

Are you wondering if you have any students with NMN as their middle name?  Run this query to view the middle names:

DISPLAY ASTU LN FN MN

If you have any NMN's in the Middle Name column, please correct the information. 

END OF YEAR TO DO...

We will be reporting Special Education students that have exited from the Special Education program in the next reporting cycle (Cycle 7).  Please make sure any graduating student that is receiving Special Education services and is graduating by either diploma or completion, is marked with the appropriate exiting code in the Special Education data entry atom by June 3, 2005.  We had a huge problem last year with the Special Education Session of the Arkansas Department of Education because we did not report any Special Education students as being graduated or completed.

Please use the EOY Status field (Page 2, Student Atom) to indicate the circumstances which the student ended the year IF the student graduated (G) or was retained (R).  This is the field used to produce the graduate list in October for the Arkansas Department of Education.  During the summer if you have students that complete their credits and receive their diploma, it is extremely important you change their EOY Status to show they graduated.  The value should be changed in the school year in which they graduated (at this point it would be 2004-05).  Should you forget to change the field to reflect "graduate", the student will not be counted on your graduate line on your October 1 Enrollment report next year.
